Gloves4Care provides healthcare training, language education and professional guidance. This policy explains how we handle personal information when you use our website, request guidance, enrol in a programme or access our learning services.

Who this policy applies to

This policy applies to the Gloves4Care website and its healthcare and education services, including appointment requests, learner and tutor accounts, online classes, learning materials and class recordings.

Information we collect

Depending on how you interact with us, we may collect:

  • contact details, such as your name, email address, telephone number or WhatsApp number;
  • information you provide in appointment, guidance and enrolment requests;
  • account and learning information, including enrolment, attendance, assigned resources and communications with our team;
  • technical and security information created when you use our services, such as device, browser and service activity information; and
  • where a class is recorded, video, audio, screen-sharing and chat content that is included in that class.

How we use information

We use personal information to:

  • respond to enquiries and arrange appointments;
  • provide training, guidance, learner accounts and course materials;
  • organise classes, attendance and class recordings;
  • communicate service updates, support requests and important account information;
  • protect our services, learners and staff, and prevent misuse; and
  • meet applicable legal, safeguarding and record-keeping obligations.

We process information where it is necessary to provide requested services, meet legal obligations, protect legitimate service interests or, where required, with consent.

Class recordings and Google Drive storage

Some online classes may be recorded to support learners who cannot attend live, enable revision and maintain course records. Tutors should make participants aware when a recording is taking place. If you join with video, audio, screen sharing or chat enabled, your contribution may be included in the recording.

Recordings are organised by class and stored in Gloves4Care's Google Drive storage. Access is limited to authorised Gloves4Care administrators, relevant tutors and enrolled learners where the recording is provided as a course resource. We use this storage only to create class folders, upload recordings and make approved course recordings available.

Sharing information

We do not sell personal information. We share information only when needed to deliver our services, including with approved service providers that host our website, online meeting services and Google Drive storage; with tutors and administrators who need it for the relevant programme; or where disclosure is required by law or necessary to protect people and services.

International processing

Our service providers may process information in countries other than the country where you live. Where this occurs, we take reasonable steps to use providers and safeguards appropriate to the service and applicable law.

Retention and security

We keep information only for as long as it is needed for the purpose described in this policy, including course delivery, support, safeguarding, legal obligations and legitimate record keeping. We use access controls and reasonable organisational and technical measures designed to protect information. No online service can guarantee absolute security.

Your choices and rights

Subject to applicable law, you may ask to access, correct, delete or restrict the use of your personal information, or object to certain processing. You may also raise a concern about a class recording. We may need to verify your identity and, in some cases, retain limited information where required by law or to protect the service.
